What are Views?

A View is a combination of:

  • Filters: Specify which data records to display based on specific criteria.
  • Sorting: Arrange the data in a particular order (ascending, descending, etc.)
  • Columns: Choose which data fields you want to see in the list view.

Saved Views: -

A Saved View in Frappe CRM is like a shortcut for organizing your data. It allows you to save filters, sorting, and custom settings so you can quickly access the information you need without setting it up every time.

Steps to Create a View:

  • Choose the Module:Start by selecting the module you want to work with, such as Leads, Deals, or Tasks. Each module contains different types of data that you may want to organize and view differently.
  • Apply Filters:Once you're in the module, you'll want to apply filters to narrow down the data you're interested in. For example, if you're working with leads, you might filter them by status (e.g., "New" or "In Progress") or by a specific date range. This helps you focus on the most relevant records.
  • Customize ColumnsYou can choose which columns are visible in your view. If you only need to see key information (like name, contact details, and status), you can hide unnecessary columns. This makes the view cleaner and more tailored to your needs.
  • Save the ViewAfter customizing the filters and columns to your liking, you can save the view for future use. Click on the Save View option, usually found in the top section of the screen. Give your view a meaningful name, like "High Priority Leads" or "Upcoming Tasks," so you can easily identify it later.
  • Access Your Saved ViewOnce saved, your view will be available for easy access anytime. You can find it under the "Saved Views" section, and simply click on it to load your custom setup with all the filters and columns you’ve selected.
  • Edit or Delete (If needed)If you need to update your saved view later, you can either edit the existing one or delete it if it’s no longer needed. This ensures your views stay relevant and up to date with your changing work requirements.

Actions You Can Perform on a Saved View

  1. Edit: You can modify the name of your Saved View and even assign a custom icon to make it easier to recognize.
  2. Delete: If you no longer need a Saved View, you can remove it from the list with just one click
  3. Pin View: Pin your Saved View to the sidebar for quick access, ensuring it’s always available when you need it.
  4. Make Public: Share your Saved View with others in your organization, making it accessible to team members who need the same setup

Pinned View: -

A Pinned View in Frappe CRM is a way to keep your most important or frequently used views easily accessible. When you pin a view, it stays at the top of your list or sidebar, so you don’t have to search for it every time.

How it Works:

  • Pin Your Favourite Views: You can pin a view that you use regularly, like “Today's Tasks” or “High Priority Deals.”
  • Quick Access: The pinned view will always be right there for you, making it faster to access your important data.
  • Stay Focused: Pinning a view helps you focus on what’s most important without getting distracted by other less relevant data.

How to Pin a View:

  1. Open the List View: Start by opening the list of records you want to pin, like leads, deals, or contacts, from the sidebar.
  2. Create or Select a Saved View: If you don’t have a saved view, apply filters and settings to customize the view to your preference, then save it. Alternatively, if you already have a view that you frequently use, select it from the dropdown menu in the list view header.
  3. Access the Options Menu: Next, locate the three-dot menu (…) next to the saved view you want to pin.
  4. Pin the View: Click on the three-dot menu and choose Pin View from the options.

Managing pinned views:

Once you've pinned a view, it will be displayed in a dedicated "Pinned Views" section within the sidebar. You can access this view with a single click whenever needed.

Unpinning views:

To remove a view from the pinned section and revert it to a regular saved view, follow the same steps mentioned above. Access the three-dot menu for the pinned view and select "Unpin View."

Public View:-

Creating a Public View in Frappe CRM allows you to share your customized view with other team members, ensuring everyone has access to the same data setup.

Steps to Create a View:

  1. Create or Select a View: Start by either creating a new view or selecting an existing Saved View that you want to share. You can customize the view by applying filters, sorting data, and adjusting the columns to display the information that’s most relevant.
  2. Access the Three-Dot Menu: Once you’ve set up your view, locate the three-dot menu (...) next to the Saved View you wish to make public. This is where you can manage the view and adjust its settings.
  3. Click "Make Public": From the options in the three-dot menu, select Make Public. This action will share your view with other users in your organization, allowing them to access and use it.
  4. Confirm the Action:After clicking "Make Public," confirm the action if prompted. Once done, the Saved View will be available to others, who can find it in the Public Views section.
  5. Team Access: Once the view is made public, any user with the necessary permissions will be able to see and use the view. This is particularly helpful when you want the whole team to have access to common filters, data setups, and reports.

When to Use Public Views:

  1. Filtering Leads: If you want the team to focus on leads from a specific source or industry, you can create a view that filters and shows only those leads. This way, everyone knows which leads to prioritize.
  2. High-Priority Deals: If there are deals that need quick attention, you can create a Public View that highlights these, so the team can see them right away and act fast.
  3. Customer Information: If your sales team needs to see certain customer details (like recent purchases or special needs), you can set up a view to display that information for easy access by everyone.

By creating Public Views for common tasks, you ensure that everyone on the team has the same information and is looking at things the same way, which helps with collaboration and getting things done faster.

Making a Public View private again

Public Views can be reverted to private views at any time. Simply follow the same steps mentioned above and select Make Private from the three-dot menu.
